Terms and conditions

Validity

The following rules apply to the extent that no other written agreement has been made.

Cancellation/reductions

Cancellation of events with overnight stays can be made free of charge according to the following table:

100% cancellation	no later than 6 weeks before arrival date
50% cancellation	no later than 3 weeks before arrival date
20% cancellation fee	no later than 1 week before arrival date

Cancellation of day courses and events without overnight stays/day courses/meals etc. can be made free of charge according to the following table:

100% cancellation	no later than 3 weeks before arrival date
50% cancellation	no later than 2 weeks before arrival date
20% cancellation fee	no later than 1 week before arrival date

If the deadlines are exceeded, the organizer will be charged 55% of the agreed price for retirement stays. Day courses/ meals/ room breakfast etc. will be charged at 100% of the agreed price. In the event of a total cancellation, reductions made after the deadline for 100% cancellation will not be taken into account and the original booking will be invoiced. The organizer will not be charged a cancellation fee if the hotel receives new bookings that make up for the loss. Both parties are responsible for avoiding situations where the hotel has to charge the organizer a fee as mentioned above.

Price offer and content

The price offer is based on the number of days that the event will last according to the booking. Shortening the event by whole days or possibly meals therefore does not qualify for a reduction in price. Such abbreviations are subject to a fee in accordance with our cancellation policy. All prices are subject to change in the event of changes in government taxes.

Name list/program

Alphabetical name list and program are sent to HHK no later than 14 days before arrival date.

Disposition of rooms

Check out of rooms by kl. 1100, guaranteed room check-in after kl. 1500.

Liability for damage

The organizer is liable for any damage caused to the hotel as a result of negligent or intentional conduct by its participants.

Responsibility for participant bills

A separate invoice will be created for each participant for services not included in the price offer (extras). The organizer is responsible for assisting with invoice addresses/credit card numbers for unsettled participant invoices.

Special events

If, for example, you wish to have a party set-up, entertainment, transport or anything else that is not included in the price offer, this will be charged to the organizer by agreement.

Payment options

Prices are based on direct settlement on departure, alternatively a joint invoice sent to the organizer. Payment per month 15 days, interest will be charged for late payment. Invoice fee kr. 65,- per invoice. Credit must be agreed in advance, we reserve the right to credit check.

Deviating conditions

At the time of booking, the organizer can raise with HHK any difficulties in complying with the above conditions, so that adaptations and special agreements can be discussed and confirmed.
